2. Information We Collect

We collect the following information when you use QuietCloser:

• Account information: Your name, email address, company name, NMLS number, and phone number when you create an account
• Email content: When you connect your email account, we access your emails solely to provide our AI features — contact extraction, loan alert detection, and reply drafting
• Usage data: How you interact with the QuietCloser dashboard and features
• Lender and contact data: Information you add or that QuietCloser extracts from your connected email

3. How We Use Your Information

We use your information exclusively to provide the QuietCloser service:

• To extract contact information from your email threads
• To detect loan maturity dates, ARM resets, and refinance opportunities
• To draft email replies in your voice using AI
• To verify lender credentials and extract product information
• To send you the QuietCloser daily digest and alerts
• To maintain and improve the QuietCloser platform

4. Email Access

When you connect your Gmail or Outlook account to QuietCloser, we access your email using OAuth 2.0 — a secure industry-standard protocol. We never store your email password.

We access your email only to:

• Extract contact email addresses
• Identify loan-related dates and events
• Draft replies based on incoming messages
• Identify and verify lender solicitations

We do not read, store, or analyze your email content for any purpose other than providing these features directly to you.

5. Data Storage and Security

Your data is stored securely using Google Firebase, which is certified under ISO 27001, SOC 1, SOC 2, and SOC 3. All data is encrypted in transit and at rest.

We store:

• Your broker profile information in Firebase Firestore
• Extracted contacts and loan alerts in your personal Firebase database
• Your email connection credentials encrypted and secured

6. Data Sharing

We do not sell, trade, or share your personal information or your clients' information with any third parties for commercial purposes.

We may share data only in these limited circumstances:

• Service providers: We use Anthropic's Claude AI to process your requests. Your email content may be sent to Anthropic's API solely to generate AI responses. Anthropic does not use this data to train their models.
• Legal requirements: If required by law or legal process
• Business transfers: If QuietCloser is acquired, your data would transfer to the new owner under the same privacy protections

7. Your Rights

You have the right to:

• Access all data we hold about you
• Correct inaccurate data
• Delete your account and all associated data
• Disconnect your email at any time
• Export your contact and loan data

8. Data Retention

We retain your data for as long as your QuietCloser account is active. When you delete your account, we delete all associated data within 30 days. Contacts and loan data you have exported remain on your own devices and are your responsibility.

9. Compliance

QuietCloser is designed with mortgage industry compliance in mind. Our AI reply drafting system is built to help brokers comply with RESPA, TILA, ECOA, and fair lending laws. However, brokers remain solely responsible for reviewing and approving all communications before sending.

10. Children's Privacy

QuietCloser is a professional tool designed for licensed mortgage brokers. We do not knowingly collect information from anyone under 18 years of age.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email and by posting the updated policy on this page with a new effective date.
